Information we collect through service intake

Data submitted for scheduling, translation, and case management

When you submit a service request, interpreter dispatch booking, or document for translation through our platform, we collect operational data necessary to perform the requested language services. This includes personal contact details (such as full names, corporate email addresses, and direct phone numbers), appointment locations, claimant or patient case reference identifiers, and source documents uploaded for legal or medical translation.

How your data is utilized and processed

Operational dispatch and certified language fulfillment

Information provided to Seadora Language Services is deployed solely to execute professional language assignments. We use case metadata and document files to match accredited linguists with specific jurisdictional or clinical requirements, coordinate on-site or remote attendance, issue accurate billing documentation, and confirm completed service deliverables to authorized organizational coordinators.

Confidentiality and non-disclosure standards

Strict adherence to legal, insurance, and medical non-disclosure

All interpreters, translators, and operational staff bound to Seadora Language Services operate under strict, executed non-disclosure and confidentiality covenants. Case identifiers, medical records, deposition files, and claim documents are treated as protected confidential materials under applicable state and federal compliance guidelines, including HIPAA administrative and physical safeguard standards.

Zero third-party marketing or commercial sale

Your organization and client records are never sold or shared

We do not sell, rent, lease, trade, or distribute client contact details, appointment histories, case identifiers, or translated work product to third-party advertisers, data aggregators, or marketing brokers under any circumstance. Information is transmitted strictly to assigned language specialists and verified technical infrastructure providers required to fulfill your requested engagement.

Data storage, security, and document retention

Encrypted transmission and governed data lifecycles

Submitted files and records are stored within protected enterprise environments utilizing industry-standard TLS encryption during transit and robust AES-256 encryption at rest. Service intake records and source files are retained only for the duration required to complete the assignment, satisfy verified auditing requirements, or comply with relevant California and federal statutory recordkeeping mandates.

Organizational data rights and record deletion

Managing your records, verification, and audit requests

Authorized organizational representatives may request an inspection of stored contact details, request the timely purging of completed translation source files (subject to mandatory legal or insurance archival mandates), or update liaison contact preferences at any time by contacting our administrative compliance coordinators.

Clients and site visitors are solely responsible for ensuring that all data, case files, and correspondence provided to Seadora Language Services strictly adhere to applicable federal, state, and local confidentiality regulations. You agree not to introduce malicious code, execute automated scraping scripts, or disrupt the normal operational infrastructure of our digital platforms.

Key governance standards
  • Authorization is required for all patient or claimant documentation provided.
  • Prohibition against reverse engineering, automated data collection, or platform probing.
  • Prompt notification is required if you suspect unauthorized access to submitted materials.
Section 03

Intellectual property and proprietary rights

All proprietary methodologies, brand assets, site architecture, and reference documentation remain protected.

All contents of this website—including textual documentation, workflows, branding, service matrices, icons, graphical interfaces, and software architecture—are the proprietary intellectual property of Seadora Language Services or its licensors. Document upload integrity and security

File uploads must be legible, malware-free, and transmitted through designated secure endpoints.

When utilizing our digital upload systems for translation or assignment preparation, clients must confirm that all files are scanned for digital threats prior to upload. • Submissions containing illegible, corrupt, or unverified files may experience scheduling delays.
  • Clients must redact unnecessary sensitive identifiers prior to transmission when possible.
Section 05

Submission accuracy and scheduling limitations

Request forms represent coordination inquiries and remain subject to confirmation and professional availability.

Submitting an interpretation scheduling request or a document translation intake form does not constitute a guaranteed confirmation of service. Assignment confirmations are finalized only upon formal written dispatch acknowledgment from our coordination team. Accurate procedural dates, venue addresses, dialect specifications, and case parameters must be supplied at the time of submission.

Key governance standards
  • Confirmation is contingent on credentialed interpreter or certified translator availability.
  • Cancellation windows and late-notice policies apply in accordance with client service agreements.
  • Inaccurate location or dialect details relieve Seadora of fulfillment liabilities.
Section 06

Independent contractor coordination and liability limits

Language professionals operate as independent specialists; services are provided on an as-available coordination basis.

Seadora Language Services coordinates with licensed, certified, and qualified independent linguists. While Seadora applies rigorous verification procedures, Seadora does not warrant that website functionality will be error-free or uninterrupted. To the maximum extent permitted by law, Seadora disclaims direct, indirect, incidental, or consequential damages resulting from unexpected technical outages, judicial continuances, or third-party actions.

Key governance standards
  • Linguists exercise independent professional linguistic judgment within their credentialing frameworks.
  • Seadora is not liable for court delays, hearing postponements, or transit disruptions.
  • Total liability for any verified claim shall not exceed the fees paid for the specific service.
Section 07

Governing law and dispute resolution

All service interactions and portal terms are governed by the laws of the State of California.

These Terms & Conditions, and any claims or disputes arising out of or related to website access or service coordination, shall be governed by and construed in accordance with the substantive laws of the State of California, without regard to conflict of law principles. Any legal suit, action, or proceeding shall be instituted exclusively in the courts situated within the State of California.

Key governance standards
  • Jurisdiction and venue reside within state and federal courts in California.
  • Parties agree to attempt good-faith informal resolution before initiating formal arbitration or litigation.
  • If any clause is deemed unenforceable, remaining provisions remain in full legal force.
Regulatory and contractual alignment

These website terms apply alongside specific Service Level Agreements (SLAs), Business Associate Agreements (BAAs), and master language vendor contracts executed between Seadora Language Services and client entities. In the event of a direct conflict between these general terms and an executed client agreement, the executed bilateral agreement shall take precedence.
